Services

What services does Fox Health provide?

Fox Health specializes in the evaluation and treatment of a variety of speech, language, fine-motor, and developmental delays. We are dedicated to providing high-quality, research-based care by improving communication and life skills. We aim to provide services as a holistic approach by involving guardians, siblings, and the child in order to reach their milestones.

How do I know if my child is meeting developmental milestones?

Fox Health provides you with a list of developmental milestones that your child should be meeting.

When should I consider contacting a therapist for services?

You should contact a professional as soon as any developmental concerns arise. There is not a specific age where a child cannot be helped. We service children from birth to eighteen years of age. The earlier a delay/disorder is identified, the earlier this can be targeted, as it can greatly affect the rate of progress for your child.

Confidentiality

Who is my child's information shared with?

Your child's information is private and is protected by HIPAA regulations.

What if I want to further protect my child's information?

As a guardian, you have the right to protect your child's information. If you wish to specify an individual or organization that you wish to not share information with, please let administration know of this as soon as possible. We ask that you send a written statement for our records.

Billing and Insurance

Billing

What methods of payment does Fox Health accept?

We accept personal checks, and all major credit and debit cards. If paying by card, please follow the instructions on your invoice to view and make any payments necessary. You can also call our office at (919) 925-4922 to make your payment over the phone. If you are paying with personal checks, please make it out to Fox Health, Corp. and provide your invoice number in the memo.

Will I receive a confirmation email if I pay my bill online?

Yes, you will receive an invoice that states a "$0.00" balance, if paid in full, or an invoice with a remaining balance.

Will Fox Health refuse services if I have an outstanding balance?

If you have an outstanding balance, we will attempt to reach you in order to arrange a payment plan. If an agreement is made, we will continue to service our patient. However, if we are unable to reach you or come to an agreement, Fox Health holds the right to deny services until the outstanding balance is cleared. If payments have not been made within 50 days of the service date billed, we will terminate all services and refer you to our collection's agency where you will be responsible for all fees, including those from agency, court, and attorney.

How often will Fox Health send me a bill?

Fox Health will send you a bill approximately twice a month until the balance due for services we performed has been paid.

What is Fox Health's hours of operation?

Monday through Friday between the hours of 9 am to 5 pm.

In the event of a divorce or separation, who is responsible for payments or services?

In the case you experience a divorce or separation, we do not want to discontinue services with the patient nor have them fall behind on their progress. We ask that you let us know so we can accommodate your and the child's needs in order to meet their goals. The guardian who agrees to continue services will be responsible for payments and updating our system.

Insurance

Which insurances do you accept?

Fox Health is always striving to better accommodate our patient needs and staying up to date with the insurances. For that reason, even if we are not in network with a specific insurance company, we can always try to bill them as out-of-network. Unfortunately, many plans do not cover developmental delays, meaning the family will usually be 100% responsible for services.

What if I do not have health insurance?

If you do not have insurance, you will be responsible for the services performed.

How does billing work if I have more than one insurance plan?

If you are covered by more than one commercial plan, your primary insurer will process your claim first, and then any remaining balance will be billed to the secondary insurer. If you receive a bill from Fox Health before you receive an Explanation of Benefits (EOB) from your secondary insurance, please contact us at (919) 925-4922 to confirm your secondary insurance information was received and a claim was filed.

What if my insurance does not cover a specific diagnosis or service rendered?

If your healthcare benefits do not cover a specific diagnosis or therapy services, you will have to contact your insurance provider. In the meantime, you will be responsible for services performed.

How do you bill our insurance and when will I know?

Fox Health will file claims directly to Medicaid, Health Choice, and many insurance companies and managed care plans. Before you have any services rendered, please make sure: Your insurance information is up to date; and Fox Health is a contracted agency for your insurance company. You will receive an invoice for the services provided within 30 days; and/or an explanation of benefits (EOB) from your insurance carrier. If you fail to receive an EOB, we suggest you contact your insurance carrier to determine benefits. An EOB is not a bill, but it may indicate that a balance remains which is your responsibility. This does not guarantee your insurance made a payment; therefore, you will be responsible for making other payment arrangements. If you have insurance, we will bill your insurance first and then send you a bill for your co-payment amount, if any.

What if I forgot to notify Fox Health if my insurance changes?

We ask that you always notify us of any changes, whether it is a new phone number, relocated homes, or updated insurances. If you forgot to mention your updated insurance, you will be responsible for any incurred fees.

What should I do if the information shows on the Fox Health bill does not match the information I've been provided by my insurance company?

If you received an Explanation of Benefits (EOB) from your insurance provider that does not reflect the services provided on our Fox Health invoice, please forward a copy of your EOB to Fox Health. You may fax it to (919) 925-4923 or email it to admin@fox.health. We will contact you as soon as we receive it.

How long will it take before my insurance company responds to a claim?

Please allow your insurance company 4-6 weeks to process your claim.

Appointments

Verification

Can I make changes to my appointment after I have scheduled it?

You can contact the office at (919) 925-4922 or you may make any changes by using our patient portal, if you have access to it.

Can I schedule an appointment for multiple patients (i.e. several of my children)?

You can contact the office at (919) 925-4922 or you may make any changes by using our patient portal, if you have access to it.

What do I need to do prior to the initial session?

The administration team will send you a Welcome Packet where the guardian of the child will be asked a series of questions for our therapists to have a better understanding of your child before the session. This packet also consists of Agreements for guardians to sign and initial in order to protect the patient.

Cancelling, Rescheduling or Missed Visits

Can I cancel or reschedule my child's session?

Yes, guardians can reschedule or cancel a session up to 24 hours prior to the scheduled session.

How do I cancel a scheduled appointment?

You may contact the office via phone at (919) 925-4922 or by email at admin@fox.health 24 hours prior to your appointment. Once the administration team receives your email or call, we will contact you to reschedule the next appointment.

What does Fox Health consider a missed and/or canceled session?

We are glad you have chosen Fox Health to provide quality, research-based, therapy services, but if you miss your appointments, you compromise that care. We would like to remind you of our policies for missed appointments or cancellations. A missed or canceled appointment is when you fail to attend a session without at least a 24-hour notice. It is the guardians' responsibility to contact the office 24-hours prior to the scheduled session to cancel or reschedule. After three (3) separate occasions, with the exception of emergencies or sudden illnesses, Fox Health holds the right to terminate services until a set schedule can be discussed.

If I reschedule a session, when will my child be seen next?

Fox Health aims to reschedule all sessions within a 2-week period. This benefits the child so that they do not fall behind on their sessions. In some cases, your child may receive treatment 2-3 times a week to make up for any missed session.

There is inclement weather approaching, will I still receive services?

In the event of any inclement weather (snow, hurricane, or severe weather warnings), the administration will contact you to reschedule the sessions. Our priority is keeping the patient and our therapists safe at all times.

Testing Information

Screenings

What is a screening?

This is a quick, 15-minute, informal assessment that consists of questions and tasks in order for our therapists to determine if the child needs further evaluation. If not enough information is gathered to make a decision, the therapist may speak with the teachers and guardians to assess any academic and/or social concerns noted at home or in the classroom.

My child is going to receive a free speech-language and occupational therapy screening at their daycare center, what should I expect?

Fox Health offers free screenings at daycare centers and preschools in our community. We aim to prepare our children by providing them with the adequate developmental skills at each stage of their lives. We schedule mass screenings at the facility and provide guardians with information about our company, our goal, and a consent for services form. Each form indicates who the licensed therapists will be, their background information, and which specialty the guardian may choose to have a screening for their child.

After the screening, when will I know the results?

Each of our providers will provide the guardians a result sheet after the screening takes place. This sheet may indicate whether the child passed the screening, which specialty they may have issues with, and their recommendation for an evaluation.

After the screening, what should I do next?

If you are interested in your child having a formal evaluation performed by one of our licensed therapists, please contact Fox Health. Our therapist will perform the evaluation in the child's natural environment (home, daycare, or other community setting). Our therapists will provide a diagnosis based on the standardized test, guardian/teacher concerns, prior medical history, and client observation.

Can I contact the therapist for further information before proceeding with an evaluation?

Of course, we encourage our guardians to ask questions and understand the reason why they suggested an evaluation.

Evaluation

Is there anything I need to do prior to the evaluation?

Complete the Welcome Packet the administration has provided to you via the Patient portal, email, or mail. We also ask that you contact your insurance and verify that the services you seek will be covered. If you need help determining the most common diagnosis codes and procedure codes, please contact the office. Lastly, provide the administration team with accurate information regarding your pediatric office.

Can a guardian be involved in an evaluation?

We understand that the success of your child is extremely important to you. We encourage guardians to be as involved as possible and ask questions. If you believe your child may not perform to the best of their abilities with you around, we may ask you to step outside and observe from a distance.

Results

When will I know my child's evaluation results?

As soon as our therapist completes the evaluation and plan of care report, we will provide you with a copy for your records. This may take up to one week after the evaluation is performed.

How soon can I expect to receive my child's results?

It may take from 24 hours to 1 week after the evaluation is completed.

What if I have not received my child's results and a week has passed?

We encourage our patient's guardians to contact the administration team to request your copy. We can email or mail them directly to you.

What if I do not understand the reports?

We ask that you contact the office and we will direct you to our therapist for more information and a better explanation. Fox Health aims to make sure you feel comfortable with the diagnosis determined after the evaluation.

What if I do not agree with the diagnosis and would like another evaluation performed?

We are sorry to hear you do not agree with the results provided. As a guardian, you have the right to disagree with the services requested. However, we cannot alter or change the information our licensed therapists have suggested. In the event you would like another evaluation performed, you will be 100% responsible for the session rendered. Insurance providers do not cover these additional services.

What are the following steps?

If you agree with the reports and would like to begin treatment, please contact the administration team to schedule the next session. At this point, the administration team will send the results to your child's primary care physician for approval and then obtain insurance authorization. This may take up to 3 weeks to receive all information necessary to proceed with treatment.

What if I do not wish to share the results with my child's primary care physician or insurance provider?

In the event you do not wish to share that information, you may proceed with treatment but you will be billed out-of-pocket, meaning the guardian is 100% responsible for payment.

Treatment

Can I be involved during the sessions?

Of course! We encourage you to review the evaluation and plan of care report, ask questions, and be involved in your child's progress. We are committed to providing optimal services to the family. Although some of our services may seem as "playing”, our therapist always has a reason for the tasks they are completing. We want our guardians to ask questions, get involved, and request further information to better understand how we assist your child!

How long will my child need services?

There are various factors that may determine how long someone will need services. Each child has unique strengths and weaknesses; therefore, each session is tailored specifically to your child. Motivation level, severity of the delay/disorder, and amount of time the child practices learned skills outside of therapy are all important factors to take into consideration.

How long is each session and how often a week will sessions be?

Session length and frequency depend on the child's diagnosis and individual needs. Therapy sessions typically include various therapeutic activities to support development, motor skills, communication, or other targeted areas. Additionally, some of the session time will be used for the provider to document progress and provide feedback to the family.

How will I know of my child's progress?

Our therapists are committed to involving you by providing you updates at the end of each session. They also include session notes to the office. If you would like a copy of each session, please contact the office and we would be happy to send them to you for your records.

How can I work on my child's goals at home?

We know the importance of practicing these learned skills at home. Our therapists will provide you with research for a better understanding of the delay/disorder and will periodically assign "homework” to encourage practice of new skills learned. They will explain the assignment and how it pertains to your child's development, as well as teach you how the best techniques are. Furthermore, your therapist will always be available to help you if you have any concerns or questions.
